Product broke down: filing a warranty claim step by step

When a product under warranty fails, don't panic — the process is standard. With the right documents and the right order of steps, most claims go through smoothly.

1. Gather documents, record the fault

Prepare the receipt or invoice, the warranty card and the serial number. Record the fault with a short video or photos — it prevents the classic 'could not reproduce the issue' at the service center. Note when the problem first appeared.

2. Contact the seller or authorized service

Depending on your country, your contact is the seller, the importer or the manufacturer's authorized service. File the claim in writing (email or a service ticket) and ask for a reference number. Verbal claims are hard to prove if there's a dispute.

3. Repair, replacement or refund

The usual legal order is: free repair within a reasonable time; replacement if repair is impossible or the fault repeats; then refund or price reduction. Time spent in repair is added to your warranty period. Keep every service report.

How long can a repair take?

Many countries define a 'reasonable time' or a fixed cap (for example 20–30 business days). If it's exceeded, your case for replacement or refund gets stronger.

What if the same fault comes back?

Who pays for shipping?

The brand's distributor changed, or the brand left the country — how do I use my warranty now?

The new distributor usually inherits existing warranty obligations, but in some cases you'll need to contact the manufacturer's head office directly. If the brand has withdrawn entirely, filing with your local consumer arbitration board is your strongest option — keep your service records and receipt ready.

The service center says it “couldn't reproduce the fault” and returns the product unfixed — what now?

Open a second ticket with a video or photo showing the problem, and state in writing that the same issue is recurring. If the outcome doesn't change, you can escalate to a consumer arbitration board or request an independent technical inspection.
